Policies & Procedures
If you plan to vacation at Ocean House Condominium we ask that you take the time to read the following policies and procedures.
Rental Capacity– All guests must register with the office. Occupancy in a two-bedroom unit may not exceed 4-6 people; three-bedroom unit maximum is 6-8 people. Exceeding the noted maximum sleeping capacity will cause termination of rental and forfeiture of rent paid.
Lobby Door Code – All doors of the condominium require a number combination to enter into the building. The door code is provided on your rental confirmation. Please make sure that all your guests have the code.
Pets – Guests are not permitted to bring pets. Allowing a pet in the condo will cause immediate eviction.
Smoking – Our condos are all nonsmoking. Smoking is permitted on the patios/balconies of all units. Absolutely no smoking in hallways, stairwell, courtyard or pool area.
Telephones – Telephones are provided in each condo; Local calls are free. You must use a calling card or credit card to make long distance calls. Please note that there is no switch board, each condo has a private phone. Cell phone service may be limited due to the coastal area and concrete building.
Internet Service – Wireless internet service is available in all of your rental unit and in the south lobby.
Fax Machines – There is a fax machine in the office if you need to send or receive a fax. A fee may be charged for this service. Our fax number is (904) 471-0521.
Housekeeping – Our rentals are “housekeeping” units. That is, why we provide starter supplies to get you going comfortably, you are responsible for any additional cleaning during your stay. Our housekeepers clean, sanitize and prepare the condos thoroughly between guests. Any cleaning problems need to be brought to the attention of the office as soon as possible but no later than noon the day after arrival. Maid service is not provided on a daily basis.
Laundry – If there is a washer and dryer in the condo, feel free to use it. Most condos do not have washers and dryer. There is a laundry room located on each floor next to the elevator. There is a $1.50 charge to wash and $1.50 charge to dry. Please note that you will need a credit or debit card to use the washers & dryers, they are not coin operated.
Activities such as: Bicycling, skating, kite flying, pitch & catch, football, etc. are for the beach only and are not permitted in the court yard, parking lot or pool area.
Excessive noise, boisterous partying or any destruction to property or surrounding areas will not be tolerated and will result in eviction with no refund and possible loss of security deposit.
Quiet time is from 10:00 pm to 9:00 am. However polite consideration of noise levels should be given at all times – indoors and at pool side.
Absolutely no smoking in the condos, lobbies, hallways, stairwells, and elevators.
Grills and deep fryers are not permitted on patio, balconies or court yard. The condo does provide 2 gas grills in the court yard for your convenience.
There is parking for boats and trailers, however there is limited space; please check with the manger to see if parking will be available.
Putting Green -There is a putting green located in the court yard. Golf clubs and balls are not provided. Children must be supervised and are not permitted to play in the area.
Swimming Pool – The swimming pool hours are 9:00 am to 9:30 pm. Please obey posted rules at the pool side. We do not have a lifeguard present at any time. Swim at own risk. Children under twelve (12) must be supervised by an adult when in pool area. Diapers are not permitted in the pool. Special swimming pants must be worn. Baby floats only. Large floats, boogie boards, etc. are not permitted in the pool.
Balconies – Please do not hang any items from the railings (this includes beach towels) or throw any debris or objects from balconies.
Damages – As a general rule, most guests are very respectful of the owners and their property. However, there is always that one or two that have made examples of why we enforce the following policies:
Any vandalism and/or theft will be photographed and reported to the police, and then followed by litigation.
Any condo that is left unsecure so that any items are damaged or stolen will be the sole responsibility of the registered guest, and they will incur the cost of replacing those items.
We all enjoy a great time, please keep in mind there are neighbors, and so please keep the noise levels to a minimum so that there is no need to involve the police for disturbance issues.
NO FIREWORKS ARE ALLOWED TO BE LET OFF ON THE CONDOMINIUM PROPERTY OR THE BEACH.
Any guest that we are forced to evict will receive no refund or credit.
Please keep in mind that the signed rental agreement is a legal and binding contract and therefore gives Ocean House the right to collect payment for damages, missing items, and excessive cleaning made necessary by your stay.
The condos are not to be used for parties or gatherings beyond the sleeping capacity of the condo. Full payment for all damages, missing items, and extra cleaning are the responsibility of the guest and will be billed to the guest who signs the rental agreement. Charges could exceed the guest’s security deposit.
Emergencies – In the event of an emergency, call 911 and then inform the office. IF YOU HAVE ANOTHER ISSUE (A/C UNIT, HEAT UNIT, OR CONDO ENTRY PROBLEM, PLEASE CALL (904) 669-2075, if there is no answer leave a message. We will contact you as soon as possible.
Lost Items – Ocean House is not responsible for lost items. However, if any are found, we will return your lost items. If you lose an item, please call 1-877-725-9501. Unclaimed items will be discarded. If appropriate, as in the case of handbags, the item will be given to the police.
Critters – On the grounds it is not uncommon to see lizards, snakes, ants and other pests. Naturally, it is a good idea to keep the screen doors closed while enjoying one of our condos. Pest control service sprays the condos and grounds on a monthly basis. Feel free to leave a note for the cleaning crew or call the office to report bugs. We do not give discounts or refunds due to any pest control issues.
Weather – We do not offer refunds or discounts for weather.
Maintenance – We perform regular maintenance on each and every condo. However, as with all homes, occasionally something malfunctions at the most inopportune times. We will do the best within our ability to correct the problem during your visit and make you as comfortable as we can.
Maintenance After Business Hours – If there is a problem after hours, please leave a message and include your condo number, phone number, and a message identifying the problem. We reserve the right to perform maintenance on our condo when necessary.
PLEASE NOTE: ANY NON EMERGENCIES REPORTED AFTER 5:00p.m. WILL BE TAKEN CARE OF THE FOLLOWING MORNING.
Early Departure – If during your stay, a situation should arise that will cause you to depart early, you will not receive a refund. There will be no discounts or credits offered in such case.
Check out Time is 10:00 a.m. – We hope that you have thoroughly enjoyed your visit with us and we understand how difficult it is to leave, however check out time is 10 a.m. Cleaners are on a schedule and may need to enter the condo immediately upon departure; therefore we must charge a $30 minimum for all late check outs.
We would like to ask for you to help keep the condo as nice for the next guest as it was for you. Please do the following before you check out:
Wash all dishes and put them away. Should your condo have a dishwasher but no dishwasher detergent, please do not use regular liquid dish soap as a substitute for the dishwasher soap powder. Hand-wash the dishes instead of using regular liquid dish soap in a dishwasher. Even once can ruin the dishwasher.
Place all linens, such as wet towels, washcloths and sheets, etc. in a pile and leave in the room. (If you have used the sleeper sofa or trundle bed, please remove all linens before closing.)
Please empty the refrigerator and take out all trash to the dumpster. The dumpster is located on the north side of the parking lot. Recycle bins are located next to the dumpster for guest use.
As you leave turn off all lights, small appliances and set the air conditioners at 80 degrees during summer and 60 degrees during winter. (Or you can be charged an extra $100 utility charge).
If you moved any furniture, such as kitchen chairs, end tables, etc. please place them back in their original location.
If there is a need for any extra or excessive cleaning after your departure, you will be charged a minimum of $25.00 or more, depending on the nature of the damage or mess. If there are any damages caused to the condo during your stay, you will be charged for repairs or any items that have to be replaced.
Upon departure return all keys to the office. In the event the office is closed please leave keys in the office door drop slot.
Security Deposit – The deposit will be refunded within 15 days of departure provided there are no damages, missing items or excessive cleaning fees.
